OK, so step 1 of music clearence is go, step 2?

OK, so I talked to a few artists (1 Indie band, one DJ under the label "Day by Day") and have gotten permission to use their stuff in my video. I am wondering, what actual hard copy paperwork do I need to send them so that I make sure the legality of my end is up to par? Do I send it to the label? or the artist?

Do they have management? Are they represented by a label? If it's just the artist, then just work with the artist. If there are others involved, get them involved, too.
