Help me propose to my school for a Film Archive~

Hey,

I have been thinking of creating a film archive to store student works so that one day when someone becomes famous their original work will be in the library. This isent the only reason, there are many others expressed in both my letters below. I also want to get credit to learn the perils of DVD authoring.

The Chairwoman of MDSC at my school was very pessimistic about the idea, I repeated that it was good for the school, was going to help the program and so on. She said I can try and do it this semester and if it works she will try and continue it, for her it is all about lazyness as she does not want to be responsible for anything extra even if it helps the school.

THEL/Thel = Yearly magazine that my school offers to print poetry and photography
MDSC = Media and Society Department at my school.
Steering Committe = PPL who make decesions about the MDSC department.
AV Department = Audio Visual department at my school whose main responsibility is to film dances and graduation. They have two GL-2's and two XL-1's that they wont lend out to students.

This is the Proposal to the committe that she refused to submit on my behalf:

MDSC Steering Committee,

Media and Society Student Film Archive:

This proposal seeks the support of the MDSC department in approving the creation of a bi-annual Senior Independent study. Each semester one student will receive a course credit for arranging a collection of student films which will be cataloged on DVD and housed in the library. The quality of the content will vary each semester; the goal is to increase the quality and quantity year by year. Submissions will be subject to review by a panel of MDSC students and professors if we receive more than we can archive. Any material made the previous semester will be eligible for submission into the Archive. It is essentially a video version of THEL.

I will be personally setting up the guidelines and submission dates for this semester and screening dates next semester. An awards ceremony/screening party will take place in the early weeks of the semester following the submission of student works. The DVD's will be created using professional Authoring software with easy to use menu's allowing the viewer to use chapter selection and skip to any film they choose. Credit information will also be included in the DVD menu.

The hope here is that after the standards are set for the selecting and archiving processes for this collection, other students will be selected to continue the process year after year. The archive will surely strengthen the Film and MDSC interests at HWS for both current and prospective students. This increased involvement with media related art forms will be a push towards the renovation of Coxe or Aubright Auditorium to include HD projection in the future. It will also improve the scope of the AV department as they will be pressured to submit, improve their equipment and help students create more sophisticated work. The archiving can also work in conjunction with streaming video support for student films via the HWS website. Teasers and previews of each semester’s collection will exude the department’s reputation and allow opportunities for additional exposure. Furthermore the DVD's will be available for purchase by alumni and students wishing to present professional appearing Film resumes to potential employers.

Sincerely,
Tom Morningstar

So After that was rejected/posponed for a semester I decided to do it myself anyways. This is the Invitation that I plan to send out to around 6 students who I know are active. This is a rough draft of the invitation.

Student,

This semester you have the unique opportunity to be part of the pilot issue of the HWS Student Film Archive. This Spring I will be collecting student film projects before summer recess. Over the summer your work will be professionally written to a DVD along with other submissions. This is essentially a film version of Thel that will be housed in the library. In a matter of years the archive will be a historical collection of student films, a resource that can be used by students to aid in film creation many years into the future.

When we return in the Fall there will be a release party/screening. A panel of students and professors will also judge the films and give out awards. We are looking forward to the possibility of awarding students who have shown improvement and those with unique work. The HWS film archive will be a conglomeration of all student interest that is geared towards movies. It will also give us a collaborative voice in proposing for increased budgeting for the improvement of student access to usable equipment. This increased involvement with media related art forms will be a push towards the renovation of Coxe or Albright Auditorium to include HD projection in the future. It will also improve the scope of the AV department as they will be pressured to submit, improve their equipment and help students create more sophisticated work

As you have noticed, there is a Mini-DV tape included to help with the submission process. This year the presence of a tape with the invitation reserves you a spot on the DVD. We are expecting to receive more submissions as the semesters roll by, eventually needing a panel to judge submissions. Anything you have made while at HWS is eligible for submission as long as it is edited. Furthermore your place on the DVD can be cited in a resume, potential employers will be able to order copy’s or your work, or view teasers on the HWS website. If you need help with submitting on Mini-DV or need to make a CD copy of your work please do no hesitate to contact me though email. Also if you are interested in participating in the DVD authoring process of any part of this production please let me know, I will be looking forward to referring someone the opportunity of receiving school credit to take on the position of President of the HWS Film Archive when I leave. I urge you to submit more than one project, there is nothing to loose! You have already spent hours on these projects; allow them the exposure that they deserve!

Best of Luck with your current projects,

Tom Morningstar
HWS Film Archive President, Spring 06’

I am looking for some suggestions that may help this happen. Maybee you want to help me with the tone of the letter? I know some of you have proposed for project funding. Do you think this is a good idea? Be nice because I did feel personally attacked when that certain teacher dismissed my idea. I am totally for this and feel that it can only help the school, so much so that I am buying DV tapes for submissions and paying for a lot of things that the school should help with.

Thanks!

Best of luck -- I know how incredibly frustrating it can be dealing with the bureaucracy of a college campus. UGH!

Neat idea though -- I had professors who approved independent study proposals all the time that weren't nearly as cool as your idea.
